Here, we will explain how to use the calendar for scheduling activities, as well as some features of working with them in this mode

Calendar is a convenient tool not only for time management and workflow organization but also for reminding about important dates.

At Uspacy, you can use the Activities functionality to schedule events related to tasks, CRM, and smart objects.

In addition to the regular List, there is also the Calendar tab. This new format is designed for visual representation, helping you quickly view your own schedule as well as your colleagues' availability.

Available views

There are three different views in the calendar: Day, Week, and Month.

🟣 Day displays activities scheduled for a specific day. When you switch to this view, the calendar will show the current day by default. At the top, you can see the day of the week, the date, the month, and the year.

For easier navigation, there is a special divider line that indicates the current time.

If you have Activities scheduled for the whole day, they will appear at the top of the list.

To switch to the previous or next day, just use the arrows.

🟣 Week displays activities scheduled for a specific week. When you switch to this view, the calendar will show the current week by default. At the top, you'll see the dates that fall within this week, as well as the year.

In this view, you can easily spot the current date as it is highlighted.

You will also see the divider line indicating the current time.

To switch to the previous or next week, use the arrows.

🟣 Month displays activities scheduled for a specific month. When you switch to this view, the calendar will show the current month by default. At the top, you can see the name of the month and the year.

In this view, the current date is also highlighted for your convenience.

If you have more than two activities scheduled for a particular day, you can expand the full list of activities for that day using a special button.

To go to the previous or next month, use the arrows.

Creating activities in the Calendar

The first method is no different from creating activities in the List view. To do so, just click on the special button.

The second method is typical for working with this functionality. That is, you need to click on the spot in the calendar grid itself (regardless of the view format) where no activity has been scheduled yet.

Once you click it, a form for creating an activity will open. Fill out all the required fields.

In addition, the calendar introduces the ability to select an Activity color. You can do this in the corresponding field.

After creation, the activity will have the color you've selected.

The calendar itself ( day, week and month views) will look a bit more vibrant and cheerful with the use of colors 😉.

Colors are not just for aesthetic variety, but can also be used for visual marking — for example, to differentiate between types of activities or their duration.

Completed activities in the Calendar

Once you complete an activity, it will remain in the calendar.

For example, you open the activity by clicking on it.

The view form is identical to the one used when working with activities in the List view. Here, you can mark the activity as Done.

This means you've completed the activity with a positive result.

In the calendar, the activity remains but is now crossed out to indicate it has been completed.

The Day and Week views will look the same.

Similarly, any canceled activities will also appear crossed out.

Searching for activities in the Calendar

Just like in the List view, you can search and filter activities in the Calendar.

The logic is the same as in the list: just enter your search query (1), select your filter parameters (2), and get the result (3).

However, there is an important detail to note regarding the number of activities that match the search and filter conditions.

Here's how it works:

The counter will always show the TOTAL number of activities that match the search query and active filters.

In our case, there are 2 activities.

The Calendar, however, only displays activities that fall within a specific day, week, or month. Therefore, the number of activities shown in the calendar may not match the total number displayed in the counter.

For instance, in December, there is only 1 activity that matches the search and filter criteria.

But you can always check the full list to make sure nothing is missing. To do this, switch to the List mode and verify the results — indeed, there is another task that satisfies the search criteria, and it's dated November 8, 2024.

Then, return to the Calendar view, scroll to the desired month, and you'll find "Activity #2" in the list.

💡 Tip

The number of activities in the counter and Calendar will match if you use a Start date filter when searching and filtering activities by date.

If you don't apply a date filter, you may get the result as shown below.
