It’s convenient to be able to track all the changes made to a CRM element’s card while working with it. For example, knowing the exact date and time of creation, moving it to another stage, entering values into fields, clearing them or understanding who made these changes to the element’s card.
That’s why Uspacy introduced a very useful feature for these purposes, called History. In each CRM element’s card, there is a tab of the same name that allows you to view all the changes made.
Just click on it to view the History.
💡 The History of changes is also available for Smart Objects (SO). For them, this functionality works the same way.
🔍 You can learn more about Smart Objects and how to work with them at Uspacy in this section.
Let’s have a look at an example of a deal to see how the ability to track all changes can come in handy. ⬇️
How does it work?
Imagine, after creation, you noticed that you linked the wrong contact and company to the deal.
Of course, you changed it and these changes immediately appear in the History tab.
Next, you decide to discuss the terms of cooperation with the client, so you move the deal to the corresponding stage.
These actions will be reflected in the History tab as well.
After a call with the client, you receive additional information for your work, so you add it, for example, to the Comments field.
You will see these actions in History at once.
Then, you clear the Source field and save these changes. Then, you’re going to enter a new value.
As a result, it will be immediately reflected in the History tab.
Next, you adjust the deal amount according to the agreement with the client.
These actions will also be recorded in the History tab.
Afterward, you assign the deal to another manager.
Again, you’ll see these actions in the History (provided you have permissions to view the deals of other employees according to the settings).
Then the new person responsible starts working with the element, making the necessary changes to the fields of the card. All of them are saved in the History tab as well.
Features of displaying changes
🟣 The History records changes related to fields on the left side of the CRM card, as well as to the person responsible and the funnel, along with the stage, if working in leads or deals.
🟣 If a field was initially filled, and then it was cleared, this will also be recorded in the History tab.
🟣 The note Information is missing will appear in the History if:
a stage in the funnel was deleted, and it no longer exists in the system;
the element was moved to another funnel, and the previous one was deleted and no longer exists in the system;
the element was moved to another funnel and the person responsible was changed but the new person does not have permission to work with the previous funnel.
🟣 Using the Connections with objects filter, you can view which changes relate to links to other CRM elements or Smart Objects.
For Smart Objects, links to CRM elements are made only through the Binding to entity fields. Therefore, changes will fall under the Connections with objects filter.
🟣 The Stage change filter can be used to track the entire process of planning, performing, and completing a lead or deal.
💡 For Smart Objects, if the support of directions option is deactivated, the Stage change filter will disappear. However, records of the transition of the element from one stage to another will remain.
