Mass actions in activities

In this article, we’ll explain how mass actions for activities work, as well as specific features of using them

If you need to interact with multiple activities at once, mass actions will come in handy.

How does it work?

First, select the activities you need.

💡 To cancel your selection, click the minus icon in the table header.

To select all elements on the page, click the checkbox in the table header.

You can select a maximum of 100 and a minimum of 5 activities at a time — depending on how many rows are displayed on the page.

Next, select the action you want to perform. There are three mass actions available:

  • Complete (for active activities)

  • Edit (for active activities)

  • Delete (for both active and completed activities)

Let’s have a closer look at each action:

Mass completion

To complete activities, click the flag icon.

Then confirm your action by specifying the result — that is, the status the selected activities will receive.

❗️Note: If you don’t have permission to complete some of the selected activities, the action will not be applied to them.

As a result, the activities will be completed with the selected status.

Mass editing

To edit activities, click the pencil icon.

A window will open where you can select parameter fields of the activity or related fields from CRM, Smart Objects, or Tasks that can be modified.

Mass editing consists of a set of specific available operations. The list of operations depends on the field being edited. The system includes the following option:

Without changes

Available for all activity fields. It means no changes will be made.

💡 This operation is applied by default — it is automatically selected for all activity fields when the editing window opens.

Replace the value

This operation is available for all activity fields. It means that the previous value of the field is completely cleared and replaced with the new one specified during mass editing.

💡 Note: This operation removes the previous field value even if the field supports multiple values. For example, if several contacts were linked to an activity, only the one specified during mass editing will remain.

Moreover, if you select this operation but leave the field empty, the result will be a cleared (empty) field.

Fill in the value

This operation is available for text fields, such as Title and Note. It means a common addition will be inserted either before or after the existing value (you can select the position). The added text will be separated by a space from the current title or note.

Add an element

This operation is available for multi-value fields, such as Members and fields linked to Contacts or custom smart object elements. It means the new value will be added to the existing ones, without removing the current data.

Clear value

This operation is available for the following fields:

  • Note

  • Members

  • Links to CRM entities, Smart Objects, and Tasks

It means the field will be completely cleared and all values removed from the activity cards.

💡 Note: This operation clears all values, even for multi-value fields. For example, if an activity has multiple members, they will all be removed.

Applying changes

Once all necessary changes have been made, you need to save them. To do this, click the corresponding button at the bottom of the editing window.

Then confirm your action.

As a result, all selected activities will be updated with your changes at once.

Mass deletion

To delete activities, click the trash can icon.

Then confirm your action.

As a result, the selected activities will be removed from the system and cannot be restored.

Specifics of mass actions

🟣 The Select all option is only available to administrators and Space owners.

💡 Regular users will not see this option at all.

When using this option, only the activities currently visible in the table — based on applied filters — will be selected.

To apply mass actions to all activities in the Space, make sure to clear all filters first.

🟣 If both active and completed (or canceled) activities are selected at the same time, the Complete action will be unavailable.

However, the Edit action will remain available. In that case, ONLY active activities will be updated.

🟣 If some of the selected activities are ones the user does not have permission to edit, the changes will not be applied to those activities. The system will notify the user about this.

🟣 Similarly, if any of the selected activities are ones the user does not have permission to delete, those activities will be skipped, and the system will also provide a warning.

🟣 If none of the selected activities allow the user to complete, edit, or delete them (based on permission settings), all actions will be disabled.
