Here we have described what a user profile is at Uspacy, how to go to it, the display forms it has, and their features

It is hard not to agree that people are the most important element of any team. You always want to know more about those you work with!

At Uspacy, each employee in your space has their own User Profile. This is where you can share personal, contact, and work information and provide data that will be useful to colleagues.

💡In addition, using the functional tabs on the profile page, it is possible to monitor and change the space settings to your own taste within your profile, as well as additionally ensure account protection.

How to go to the profile?

At any moment, the users can open the page of their own profile no matter in which section of the space they are currently located and working.

To do this, you need to click on the personal photo in the upper right corner, and then select the item User profile.

You can view and go to your colleagues’ profiles in several ways:

  • The first is through the Profile button in the Actions menu on the employee list page.

To do this, go to the Company and people - Employees section. On this page, find the user you need in the list or use the search. Click on the three dots, which will show the Actions menu and select Profile item.

  • The second way is by clicking on the user's photo anywhere in space. For example, in the same list of employees. It is enough just to click on a colleague's photo. The view form will open. To go to the profile page, you need to click on the button of the same name.

The same is in the company structure, when viewing the staff of the department, you can go to the profile of the colleague you need. Here, we do the following actions. Click on the photo first and then click the button to go to the profile.

Display forms and user profile appearance

At Uspacy it is possible to view all users' profiles using a short view form, as well as to go to the full profile.

So what is the difference between them, what is the functionality and appearance of each of them?

1. Short form

This is a quick view of general employee information.

❗️By default, this is how the profile always opens if you click on the user's photo anywhere in space.

The short form contains:

  1. First name, last name and, if specified, middle name.

  2. Position, if it was specified for the employee.

  3. Interaction button - Message.

  4. Profile photo.

  5. Activity status.

  6. Contact information such as phone number(s), email address(es),

links of social networks and messengers.

💡If the user specifies several contact phone numbers in the profile, only one, the main one, will be displayed in the short form by default. The same applies to e-mail addresses.

But it is possible to view all specified phones and mails. To do this, click the arrow buttons next to the fields.

And then, if needed, you can collapse back those displayed fields. Click the arrow buttons again.

After viewing the short form of the profile, you can close it at once by clicking on the cross or open the full form by clicking the Go to the profile page button.

💡Neither the profile owner nor any user with access to such actions can edit data through this form. To make changes, you need to go to the full profile.

2. Full form

This is a separate page with all available information about the employee. Besides, it provides additional personal settings and enables to manage account security.

The full form of the user profile can be conditionally divided into two parts.

The first is blocks with personal information (1), photo (2), activity status (3), position (4), interaction buttons (5) and functional tabs (6).

1. The first and last name of the user are required fields. The middle name can be added if desired.

2. The profile photo is uploaded from the user's personal computer. Its maximum size is 2 MB, and supported formats are: JPG, GIF, PNG. It can be changed or deleted at any time.

❗️You can edit the name, surname, add the middle name or change the profile photo using the interaction button - "pencil". More detailed information about this can be found below ⬇️, in point 5.

3. If the user has successfully registered and is using the Space, his/her activity status will be marked with a green circle, and if they are fired or invited, then with a red one.

4. If the user's position is specified in the "Organizational Information" section, it will also be displayed in the upper part of the profile.

5. In their own profile, the user sees three interaction buttons. The first is a "pencil" for editing, which allows you to change personal data and photos. The second button is Message to yourself, which opens a chat with yourself. The third is the call to the interaction menu, where the item Handoff cases is hidden.

And in the profile of colleagues, only one interaction is available - Message to a chat.

🌟If you are an administrator or the owner of the portal, then additional

interaction with profiles enables to Hand off cases, Assign as administrator and Fire the employee.

6. In their own profile, the user has access to all functional tabs: Profile, Settings and Security. The administrator (owner) of the portal has similar access.

💡On the profile pages of colleagues, only the Profile tab can be viewed directly by users of the space.

The second part of the profile is dynamic information blocks. They change according to which of the functional tabs is active. By default, when you go to the profile page, the Profile tab of the same name opens.

It contains detailed information about the user, which is divided into three sections:

  • Contacts - ways of contacting the user are: phone numbers, e-mail addresses and social networks.

  • Organizational information is the "employee's workplace in the company", that is, their position, specialization, the departments they are a part of and the heads to whom they report. If the user is the head of the department, then all his/her subordinates will also be displayed in his/her profile.

  • Additional information - here the users can specify the date of birth, country and city/town of residence, as well as tell more about themselves, their interests and hobbies.
