What are activities and how to schedule them in CRM?

Here we'll tell you how you can characterize activities for CRM at Uspacy, and how you can add them for leads, deals, contacts and companies

At Uspacy, activities are a supporting CRM entity. It helps to schedule all activities when working with leads, deals, contacts, companies and smart objects.

How to add an activity?

It can be done in two ways. The first is to click the Add button on the Activities page.

The window for creating an activity will open. You will need to select the type of activity and specify its name.

💡Uspacy has 5 types of activities:

  • activity;

  • call;

  • meeting;

  • chat;

  • message

Next, specify the time period needed to complete this activity.

You can also specify hours to be exact.

💡If it is difficult to define the time needed to complete the activity then select For the whole day option.

You can also set a priority. It will help the person responsible to prioritize the tasks.

Then specify the person responsible.

The user who creates the activity will be automatically assigned as the person responsible.

Also, if necessary, specify the participants. Just select a colleague from the list.

It is possible to leave a note if needed. The text in this field is formatted using the built-in editor.

Finally, bind the activity to the right CRM elements (lead, deal, contact, or company).

Or with elements of smart objects that you have created.

Finally, be sure to Save everything.

The new activity will open in the viewing form.

Here you can immediately go to all CRM elements or smart objects specified in the card. Just click on the desired one.

The created activity will be displayed in its card as well.

And of course, the newly created activity will be displayed in the general list. In addition, you will also see its type. It will have a mark next to the name.

There is another way to add activities. They can be scheduled directly in the card of the element you are working with. To do this, open the desired lead, deal, contact or company and click on the Activities tab.

The window for creating an activity will open. Just fill out all the fields and click the Save button.

As a result, the activity will be displayed in the card at once.

And it can be found in the general list as well.

❗️In the CRM Connections block, elements bound to the entity are pulled automatically.

  • If you create an activity to work with a deal, it will be specified in the corresponding field. And related contacts or companies will be those specified in the deal card.

  • If you create an activity to work with a contact, it will be specified in the corresponding field. And related companies will be those specified in the contact card.

  • If you create an activity to work with a company, it will be specified in the corresponding field. And the related contacts will be those specified in the company card.

❗️Similarly, an element, which is added to the card, is immediately pulled into the Connections with smart objects block.
