Here we will tell how to configure recurrence and recurring tasks, as well as how to work with templates of such tasks

It is very convenient when it is possible to automate the creation of tasks of the same type. Then you don't need to fill all the fields with the same information every time, for example, add a similar description, persons responsible or set deadlines.

Plus, you don't have to worry that you didn't manage to create the task on time or that you forgot about it at all. Uspacy will take care of that 🙌🏻

Just make the task recurring, configure the parameters of the recurrence, and then manage it with the help of templates. About that below ⬇️

🌟 Work with recurring tasks is provided only on commercial plans . You can learn more about the possibilities of all plans HERE.

💡Features:

  • Using Standard plan, you can create 10 templates of recurring tasks, while there are no restrictions on the number using Professional one.

  • If the Commercial plan is switched to Free, the active templates will be automatically paused. But after returning to the commercial plan, they become active again at once.

  • If you have switched from the Professional to the Standard plan, only the first 10 templates remain active, the others will be paused. While those templates that the system left active will remain active, others cannot be unpaused. You will not be able to create new ones either. After returning to the Professional plan, those templates that were paused due to the plan will become active again.

  • If the Professional plan is switched to Free (all templates are paused), and after switching to Standard plan, the first 10 templates that the system paused will become active. You will not be able to create new ones.

  • If you have switched from Professional to Standard, and at that time a template was paused manually, then when returning to the Professional plan, it will not automatically become active. You will have to return it to active mode manually.

Recurrence settings

First, you need to create a task (base), which will become the basis for the template and for the following tasks. Fill out all required fields. Then activate the Make the task recurring option. To do this, simply drag the toggle button.

A recurrence settings window for the template will open, which will be created after saving the task itself.

This window is divided into three blocks.


Frequency

Here you need to specify the frequency of creation of the following recurring tasks from the template.

1. Day. It is necessary to specify the number of days after which the next task will be created.

💡For example, if 1 is specified, the task will be created every day, and if 5 is specified, the next one will be created in 5 days, on the 6th one.

❗️ The first day is the day when the task is created, for example, Monday (1), so the next one will be on Saturday (6).

2. Week. It is necessary to specify which week and on which day of the week the next task will be created.

💡 For example, if 1 is specified, the task will be created every week. And if 5 is specified, the next one will be created in 4 weeks on the 5th one.

❗️ The countdown starts from the creation date of the recurring task.

3. Month. It is possible to select:

🟣 specific day (date) of the month and which month the next recurring task will be created.

💡If you select the Last day option, the task will be created on the last day of the month (30 or 31 or 28/29 for February)

As for months, for example, if 1 is specified, the task will be created every month. And if 5 - the next one will be created in 4 months on the 5th one.

❗️The countdown starts from the date of creation of the recurring task.

If it is March 31, then this date is included in the first month. Therefore, with the recurrence of every 5th day of every 3 months, the next task will be created on May 5th.

🟣 specific day of a specific week in the month and for which month the next task will be created.

💡As for the month, if 1 is specified, the task will be created every month. If 5 is specified, the next one will be created in 4 months on the 5th one.

❗️The countdown starts from the date of creation of the recurring task.

If it is March 31, then this date is included in the first month. Therefore, with the regularity of every last Tuesday of every 3 months, the next task will be created on May 30.

4. Year. You can also select:

🟣 a specific month of the year and a specific day in it when the next task will be created.

🟣 specific month of the year, specific week in this month and specific day of this week when the next task will be created.


Creating and completing the task

Here you need to specify the date of creation of the task, which will be used as a basis for the template and future recurring tasks, as well as the need to specify a deadline.

In the Create field, select a calendar date and time.

If you activate the Deadline toggle button, you can specify the number of days and at what time the deadline for each of the recurring tasks created according to this template will expire.

❗️The deadline is calculated by adding the number of days to the date of creation of the next task.


How to stop creating recurring tasks?

Here you need to select when (under which of the conditions) to stop creating tasks from the template.

🟣 If you select the Never option, you could only stop the creation of recurring tasks manually.

🟣 If you select the From calendar date option, then the creation of recurring tasks will be stopped automatically on the specified date. At the same time, it is possible to stop the creation manually.

🟣 If you select the option Number of repetitions, then the creation according to the template will be stopped after the specified number of recurring tasks has been created. At the same time, it is possible to stop the creation manually.


Creating recurring tasks

When all settings are configured, click Save. This will ensure that the recurrence parameters specified in the window are applied to the template, on the basis of which future typical tasks will be created.

To create a template, you need to save the task itself. To do this, click on the corresponding button.

As a result, in the card of the created task, you can see that it has become the basis for the template. That is, it was created from this task. This shows the connection to the template, according to which the following recurring tasks will be created.

By clicking on the name of the template, you can view it at once. Here you can see what status it has, the number of recurring tasks connected with it, as well as the parameters to automatically create the next ones.

❗️Please note that the first task will always be the task on the basis of which the template was created. All subsequent recurring tasks will be added according to the recurrence settings in it.

The created basic task will be displayed in the general list.

The template that was formed on its basis, taking into account the recurrence settings, can be found on a separate page. Click on the gear and select Task templates.

Templates of recurring tasks

A recurring task template can be created automatically when setting up a recurrence for a specific task (base) and saving it. That is, as described above.

And also manually through the Templates page. To do this, first click the Create button.

The form for creating a template will open. Here you need to fill out all the required fields.

A recurring task template is almost the same as a one-time template. The main difference is the recurrence setting. Therefore, if you plan to make the template recurring, then when filling out the form fields, it is not necessary to specify a deadline. You will be able to do it in the recurrence parameters.

So, to make the template recurring, activate this parameter in the form for creating it.

The settings window will open. Here you need to set all recurrence parameters. They are not different from those that can be configured when creating a task. When everything is ready, just click save.

As a result, you will see that the template has changed from one-time to recurring. The field to manage deadlines is missing, as they can be configured separately in a pop-up window. Now it remains to Create a template.

It will be saved in the system and will be opened in the viewing form at once.

❗️We remind you that the first will always be the basic task, that is, the one on the basis of which the template was created. It will be immediately bound to it. All subsequent recurring tasks will be added according to the recurrence settings in the template itself.

All created recurring templates can be found in a list on the Templates page under the Recurring tab.

This list has the form of a table consisting of rows and columns. A row is each individual template. The column is a component that characterizes the template, for example, its name, person responsible, priority, etc.

You can configure the display of these characteristics in the list. To do this, you need to click on the gear and activate or deactivate the desired ones.

Only the Template name is required, it is not possible to disable the display of the name. All other characteristics can be either hidden or, on the contrary, configured so that they are visible.

When you move the cursor over the name of the template, you can see the interaction menu call button (three dots). It contains such items as Complete, Edit and Delete.

The interaction menu can also be called directly when viewing the template itself. But here it will contain only two items Edit and Delete as there is a separate button for the complete option.

❗️Please note that only the task creator has access to these actions. Other members cannot influence the template in any way. That is, they will NOT be able to edit, stop, complete, or delete it.

In addition, as in the usual task, there is an opportunity to leave comments. All members can do this.

💡Comments are added only to the template and are not transferred to tasks that will be created from it.

Editing a template

It provides an opportunity to make changes to all the fields and configure the basic task from which the template was created. You can add some information to the description, select a new person responsible, add or delete other members, turn on control after completion, etc.

After making all the necessary changes, click on the button that will save them.

Editing recurrence

It provides an opportunity to make changes to the parameters that affect the recurrence of the tasks that will be created from the template.

Click on the gear next to the Recurrence settings field.

A window will open, make the necessary changes and save.

Now the following recurring tasks according to this template will be created taking into account the new parameters.

How to disable a template?

This is one of the types of disabling the recurrence of tasks. To suspend the template, click the corresponding button.

As a result, tasks that should be created according to the recurrence settings will not be created.

In the list, the template will receive the Suspended status.

But it can be Restored. Then all scheduled tasks will be created again according to the recurrence settings that were configured before it was suspended.

Expiration of the template

It is also one of the types of disabling the recurrence of tasks. To complete the template action, click on the corresponding button.

As a result, tasks that should be created according to the recurrence settings will not be created.

But in the list, the template will receive the status Completed.

To restore it, you need to configure the recurrence for the tasks again that will be created from it. Therefore, to make the template active again, click on Restore recurrence.

In the settings window, configure the parameters and save.

Deleting a template

In fact, this is also a kind of disabling the recurrence of tasks. Therefore, it is logical that the deletion stops the creation of all subsequent tasks scheduled according to the recurrence settings.

But apart from that, for tasks that already exist and have a connection with the template, that connection is lost. The template itself is deleted from the general list.
