Integration with Google Calendar

Here we'll explain how to synchronize your personal Google Calendar with activities in Space and gather all your work events in one place.

The calendar is a tool that is often used not only for important dates but also for organization of work activities.

Google Calendar is a popular service for managing schedules and planning events developed by Google. It allows users to create and organize events, meetings, reminders, and tasks, as well as synchronize them with various devices, including computers, smartphones, and tablets.

At Uspacy, you can use the Activities feature for scheduling events related to CRM and sales.

What if we integrate your Google Calendar with Activities at Uspacy?

This can be done with a special two-way integration. It will allow you to create, edit, synchronize, or view calendar events directly in your Uspacy space. Or vice versa, activities from Uspacy will be transferred to the Google service.

This is a very convenient way to increase work efficiency, as you can manage your schedule and availability within a single interface.

How to integrate Google Calendar?

Go to the Activities section. Then click on the gear icon and select External Calendars.

🌟 Working with external calendars is available to users on commercial plans.

Next, click on the Connect button.

You will be redirected to an external page to select the desired Google account. Therefore, sign in with the one that your browser already recognizes.

Or use another account.

Then provide the consent to proceed.

Select the access options for Uspacy to your calendar. Be sure to check the bottom checkbox. This will ensure the necessary information can be shared between the services.

💡 If you check only the top checkbox, then Uspacy will not receive any data from Google, and you will not be able to complete the connection process.

You will be redirected back to your Space, where you can continue the setup and connection.

💡 Please note that only a personal calendar can be connected and synchronized. In the settings window, you will see the address of your Google account to which the calendar is linked.

So, next, you need to set the parameters for the connection:

The type of synchronization

There are three of them:

🟣 Two-way: services exchange data mutually. Events from Google Calendar are transferred to Uspacy, and activities from Uspacy go to Google Calendar.

🟣 One-way to Google Calendar: only the external service will receive information. Activities from Uspacy are transferred to the external calendar.

🟣 One-way to Uspacy: only your Space will receive information. Events from Google Calendar are transferred to Uspacy.

The synchronization period

This refers to the period for transferring events/activities scheduled in the calendar or in the Space before the current date.

The following options are available: only today, the last 7 days, the last month, the last 3 months, or the last year.

💡 Note that past events from Google Calendar will be transferred with a status of Completed.

Additionally, specify the period for transferring events/activities scheduled in the calendar or in the Space after the current date.

The following options are available: the next 7 days or the next month.

💡 Note that future events from Google Calendar will be transferred with a status of Scheduled.

As a result, the data will be synchronized considering the combination of periods you select.


Further settings will differ depending on the desired type of synchronization.


Specify how to save calendar events

🟣 For Two-way and One-way at Uspacy, you need to specify how to store Google Calendar events. That is, what type to assign them: Activity, Call, Meeting, Chat, or Email.

Also, specify whether to synchronize private events from the calendar or not.

In other words, whether to transfer events marked as “Private” in Google to Uspacy.

Select which types of activities from Uspacy will be synchronized

🟣 For Two-way and One-way in Google Calendar, you need to specify which types of activities from Uspacy to transfer to the external calendar.

Once all synchronization settings are configured, click Save.

Now wait, as the process may take some time.

Integration results

After connecting and completing the synchronization, you can evaluate the results. In our example, the settings are as follows:

✅ Two-way synchronization.

One month back and 7 days forward – the periods for transferring events and activities.

✅ Activity– the type with which transferred calendar events will be saved.

✅ Activities, Calls, Meetings – the types that need to be transferred to Google Calendar.

As you can see, not all events/activities have been transferred. Why? It all depends on the specified synchronization settings. They are:

🟣 some activities at Uspacy and events in Google Calendar are not covered by the synchronization period.

🟣 some activities at Uspacy have a corresponding type that has not been selected for synchronization.

🟣 completed activities (canceled and done) are not transferred to the external calendar.

🟣 private calendar events are not transferred to Uspacy if specified in the settings.

How to change synchronization settings?

On the Activities page, click on the gear icon and select External Calendars.

In the window that opens, you can go to the settings in the Google Calendar block.

After making changes to the synchronization parameters, click Save.

After that, it will work according to the updates.

How to disable synchronization?

On the Activities page, click on the gear icon and select External Calendars.

In the window that opens, go to the settings in the Google Calendar section.

Next, click the Stop Synchronization button and confirm your actions.

As a result, the connection status will change. However, you can Activate synchronization at any time. After that, it will work according to the current settings in the settings window.

💡 When synchronization is paused, the account retains its connection with the Space, but data exchange does not occur.

How to remove integration with Google Calendar?

On the Activities page, click on the gear icon and select External Calendars.

In the window that opens, you can proceed to delete in the Google Calendar block and confirm your actions.

After this, the connection will be removed from your Workspace. Synchronization will no longer occur, of course.

💡 When deleted, the account does not retain a connection with the Workspace, but the integration can be configured again.

How to integrate several Google Calendars?

It is NOT possible to set up integration between Uspacy and multiple Google calendars at the same time.

If needed, you can select an account. That is, change the current Google account and re-grant all permissions for data sharing.
