A booking schedule is a set of time slots available for booking, which you publish so that clients can schedule a meeting with you.
In Uspacy, you can create individual schedules, allowing you to use them for different types of services, managers, or work scenarios. This makes it easy to manage your availability, and clients can select the time that works best for them.
How to create a new schedule for booking meetings?
🌟 The number of booking schedules you can create depends on your plan:
Free – 1 per Space
Standard – 1 per user in the Space
Professional – unlimited
First, go to the Bookings page under the Schedule section.
Then click the Create button.
If your Space doesn't have any booking schedules yet, you can also use the + Create button.
After that, a form will open, and you'll need to fill out fields grouped into the following blocks:
General Information
🟣 Title – the name of the schedule that helps you distinguish it from others in your Space.
🟣 Description – additional text that explains the purpose or details of the specific schedule. It can include important info, such as the meeting format, topics, or special booking conditions.
🟣 Meeting duration – the set time length that will be reserved for each booking. You can select a fixed duration, e.g., a minimum of a few minutes or a maximum of 2 hours.
🟣 Break between events – the time gap between two bookings, which is unavailable for scheduling. This helps you have time for preparation, rest, or switching between meetings. Select a minimum break of 5 minutes or a maximum of 15 minutes.
🟣 Time zone – sets the default time zone in which available booking slots are displayed.
🟣 View schedule button – opens a preview of your current availability in the Space. This lets you make sure you have free working hours before sharing the booking page with clients.
🟣 Event type – specifies how to save the booked meeting in the Space, such as: Task, Call, Meeting, Chat, or Email.
🟣Display a photo on booking page – allows displaying the avatar of the user who created the schedule on the page where clients select their time slot.
User data
🟣 Language – determines the language of all system texts and buttons on the booking page.
Only available system languages can be selected.
🟣 Form title for personal information – the heading that appears in the window after a client selects a time slot and proceeds to enter their personal details.
This title also appears as the name of the booking on the schedule page.
🟣 Create based on new booking – allows you to select:
Which element(s) should be created in the system once the client finishes booking.
What the form should look like that opens for the client to input their personal info.
Two options are available:
Activity – a new activity will be created after booking. The form will only include Name and Email fields.
2. Lead + Activity – both a new Lead and a new Activity will be created.
You can also specify the Source for the lead.
For the form, you can specify which personal data to collect from clients. That is, you can configure the fields and their display. Just like with a deal, First name and Email are required fields.
However, using the Add a field button, you can include additional fields in the form.
Select from the list of suggested fields (standard or custom text fields).
You can also customize how the field name appears to clients.
Mark it as required if needed.
Meeting hours
These are time intervals on selected days when you are available for booking. These are the actual days and hours clients will be able to book an appointment, event, or consultation.
To add a day to the schedule, just click the circle representing that day.
A new row will appear, where you can specify the time range (from what time to what time) you’re available.
If you want to set breaks on a specific day (i.e., certain hours should not be open for booking), just define multiple separate time ranges. The system will automatically exclude unwanted periods.
Additional restrictions
This lets you manage the maximum and minimum time frames for booking a meeting. It helps avoid last-minute bookings and improves planning.
You can specify:
Maximum time – how many days in advance a meeting can be booked.
Minimum time – how many hours before the start time a client can book.
You're almost done! Just double-check everything and click the Create button.
Your booking schedule will appear on the page.
