How to import data from Bitrix24 to Uspacy?

This article describes in detail the process of importing data from the Bitrix24 portal to the Uspacy workspace.

To successfully migrate your data, you first need to perform preparatory actions in Bitrix24, and then start the migration to Uspacy.

So, you need to take five basic steps.

💡 But before that, please CHECK THE RELEVANCE OF DATA that will be transferred from Bitrix24. Delete the unnecessary, fire users and change the persons responsible for tasks and elements of CRM. This will speed up the migration process to Uspacy.

Also pay attention that:

  • only profiles of active employees are migrated, without fired ones. That is why, if the fired user in Bitrix24 had some of the roles in the task or was responsible for CRM elements, then at Uspacy this user will be replaced by the migration initiator;

  • for successful transfer of active users who are registered in Bitrix24 by phone number, their Bitrix24 profiles must have an email address. This email address will be used for further authorization in Uspacy.

Step 1. Create an incoming webhook in Bitrix24

On the Bitrix24 portal, from which you plan to transfer data, in the left menu, find the Applications section - the item Developers.

In the window that opens, in the Ready-made scripts tab, go to the Other block.

Among the possible options, select Incoming webhook.

In the window that opens, in the Rights Settings block, select the entities that you want to transfer to your Uspacy space.

At this stage, you need to take into account what access rights you have in Bitrix24.

💡To create the most complete webhook and import all entities and their elements (for example, all deals and leads, all contacts and companies, all employees and company structure), you need to have a full range of rights, that is, to be a portal administrator.

💡If you do not have the necessary access rights, you can contact the administrator to grant the appropriate rights to import all data. Or you can perform a partial migration. What does it mean?

  1. You will be able to import only those entities to which you have full access. For example, if your rights in Bitrix24 do not allow you to work in CRM, then neither leads, nor deals, nor other entities of this module will be transferred as a result.

  2. You will be able to import only those entity elements to which you have full access. For example, if you have rights to work with your deals, but not with all of them in CRM, then only those deals will be transferred as a result of the migration.


❗️Only the entities listed below are available for transfer from Bitrix24 to your Uspacy space:

  • Users

  • Task

  • Company structure (department)

  • CRM

  • Newsfeed (log)

  • Work groups (sonet_group)

  • Disk

❗️If you specify any additional entities that are not specified in this list, they will not be transferred to Uspacy.

❗️Email addresses of domain zones .ru and .by are not allowed to registrate in the system.

Users who have mailboxes of this type will NOT be transferred using migration.


So, in order for the data migration to take place successfully, be sure to select all seven entities indicated in the list above ⬆️ even if you do not plan to transfer any specific ones (they can be disabled in step #4). The webhook must have access to them.

And finally, don't forget to click Save.

Step 2. Copy the webhook created in Bitrix24

A link to the created webhook is required for further migration.

Just scroll to the top of the page and you'll find it in the field called Webhook to call the rest api.

Now copy this link.

Step 3. Start the migration process at Uspacy

In your Uspacy space, in which you plan to work with the data transferred from Bitrix24, in the side menu, find the Settings section - the Migrations item.

Among the possible system options to migrate from, select Bitrix24 and click Start migration.

In the window that opens, in the Webhook field, paste the copied link to the incoming webhook created in Bitrix24 and click the Authorize button.

Step 4: Select the entities to be transferred to Uspacy

On the Data Preparation tab, select exactly what you want to import from your Bitrix24 portal.

❗️Pay attention❗️

  1. If you do not have enough access rights in Bitrix24 to certain entities, or you did not select them when creating the webhook, then they will be inactive for marking at all, and the migration will be partial.

  2. If you do not have access to some elements of the entity in Bitrix24, then you will be able to import only those that you have rights to work with, and the migration will also be partial.

Special messages will inform you about such import conditions.

Step 5. Start the migration process

So, if there were no warning messages and a complete data transfer is possible, then you can start the import.

If the system informs about the availability of only a partial migration, but you are satisfied with this, then first close such a warning message, and then start the data migration process.

Now just wait for the import to complete to start working with your data at Uspacy.

To successfully log in and start working in Space, users whose data was also transferred during the migration need to recover passwords from their accounts.

To do this follow all the same steps as in the situation when you simply forgot your password.
