We'll tell you what filters are, how to work with them and the search bar, about the types of filters and the conditions for their operation

Filters and search bars help you easily find a specific task or a certain group of tasks that are united by common features in order to move on to further work.

Appearance

This block consists of two parts. The first is a field for entering search queries (1). Here, on the right side, there is also a counter of the number of tasks (2). There is also a clear button (3), after clicking on which search queries and set filters are reset.

Here you can also see the panel of saved filters (4), and the window of advanced settings (4), which allow you to search by additional fields.

The second part is a panel of quick filters. The appearance of the filters depends on whether the filter is reset or active and how many options are selected in it.

Types of filters

The system provides 5 quick standard filters, which are placed directly under the search bar for ease of use. This allows you to quickly find the tasks you need in the main fields.

It is also possible to expand the search parameters. There is a window for advanced filter settings. Here you can use additional fields to find the tasks you need.

Quick filters

  • Not scheduled

  • Scheduled

  • In progress

  • Ready for review

  • Stopped

  • Done

Task creator displays the tasks in which the selected user (or users) of your Space is assigned to this role. All invited employees are specified in the list.

Person responsible is similar to the previous filter, it displays tasks in which the selected user (or users) of your Space is assigned to this role. The list also includes all invited employees.

❗️In addition, you can filter tasks that do not have a person responsible.

Priority displays tasks, depending on their importance. It has 5 standard values:

  • Very high

  • High

  • Neutral

  • Not high

  • Low

Deadline displays the task according to the specified date or period when the time for completion will expire or has already expired. It has the following system values:

  • Expired (i.e. tasks are expired)

  • Unspecified (the deadline is not specified in the task)

  • Today

  • For tomorrow

  • For yesterday

  • This week

  • Next week

  • This month

  • Next month

  • A certain date/period (a time interval or a certain number is specified)

Advanced filter settings

In this window, in the Simple tab a set of filters that are quick and located above the search bar can be managed.

Also you can use additional fields for searching.

Here you can control the logic of work and filtering conditions.

Filtering conditions

Three of them are available, namely:

🟣 Without changes. This option ensures that the search for users, that is, by the fields Task creator, Person responsible, Participants and Observers, is carried out according to the "OR" logic. For other parameters, the combination "And" is used. This type of filtering is below.

🟣All conditions at the same time. This option ensures that filtering of all fields, without exception, for which values are set, is carried out by logic "And".

That is, the found tasks must meet only all the specified parameters at the same time.

For example, at the same time AND have the status In progress, AND the specific person responsible, AND high priority, AND the deadline must expire this week.

🟣At least one condition. This option ensures that filtering for all fields (except for the Group field) for which values are specified is carried out using the “OR” logic.

That is, the found tasks can correspond to only one of the specified parameters.

For example, have at least a status of In progress, OR a specific person responsible, OR a high priority, OR a deadline that expires this week.

💡For the Group field, the logical operator "AND" is always applied, regardless of which condition is selected for filtering.

Also, in this window, you can see how many filters have been applied (1), as well as a counter of the number of tasks (2) that meet the specified conditions. There is also a clear button (3), after clicking on which search queries and set filters are reset.

💡In addition, using the button Add a field for filtering, you can configure which fields will be displayed in the quick filters panel.

For example, you can remove all fields typical for quick filters from this list. There will be no filtering according to them.

In this case, the additional fields marked in the list will be pulled up to the quick filters panel in order of priority.

You can select values for filtering by these fields immediately on the tasks page, without going to the advanced settings window.

In order to restore the default order of the fields, you need to use the corresponding button.

Own filters

Uspacy allows you to configure your own set of filters and save it. It's easy to do. First, you need to select which fields to filter by.

You will see the full list. You can leave everything as it is, or you can remove unnecessary ones.

❗️Please note that 5 parameters must be selected for filtering.

But, if necessary, you can restore the default order of the fields by clicking one button.

When the necessary parameters are selected for filtering, it remains only to set their values.

And also select the filtering conditions.

After that click Save filter.

Enter a name and save your new set of filters.

💡At this stage, you can also change the fields that will be filtered, as well as their values and the logic of their work.

After that, the new filter will be displayed in the Saved tab and will be applied at once.

Each of your saved filters has a button to call up the interaction menu.

With its help you can:

🟣 Apply - filtering is performed according to the parameters specified in the filter.

In addition, you can apply it without going to the settings window, but on the tasks page at once. To do this, select the desired one from the saved filters panel.

🟣 Pin – the filter will be moved and fixed at the top of the list. And also on the panel of saved filters.

You can pin the filter without going to the settings window, but on the tasks page. To do this, select the desired one from the saved filters panel and click on the corresponding icon.

🟣 Delete - completely remove the filter from the system. After that, you will not be able to use it, nor restore it.

💡Only the predefined My tasks filter can NOT be deleted. But it can be customized to your own needs.

In addition, for each filter you save, you can change the set of filtering parameters and their values at any time. To do this, click on the expand arrow to see all settings.

Make the necessary changes and save them.

The work of filters and search bar

Filters and search bar in tasks work together. How this happens can be described in three steps:

Step one. Write a search query.

Step two. Select value options for one filter or several filters. You can do this using the panel of quick filters.

Or in the window with advanced settings. It depends on what parameters you are searching for.

Or even use your own saved filters.

How to reset filters?

On the quick filter panel for each of the types, if at least one value is selected, the Clear button will be active.

Or in the advanced settings window, you can click on the cross in the desired field.

To reset all filters, you can click on the clear button in the search bar (1). Or on the cross next to the name of the saved filter (2), if it is applied.

Step three. View the results.

💡The search in the tasks must take into account all filter settings.The search result will depend on the values specified in each filter.
