A task board is a task management tool that helps you visualize work and divide it into specific stages that you can define yourself. This is a kind of interactive map of the employee's work.

Work with Kanban board is similar to the work with the list, you can create new tasks, edit or complete existing ones.

On the Kanban board, the tasks are fixed by stages, which are determined separately by each user according to the specifics of their work or taking into account personal taste. Such a visual representation helps to quickly navigate and plan your work in this section.

Appearance

The Kanban board is a virtual planner for working on tasks, which consists of certain stages that are created independently by users.

Each stage is a separate column that has a task.

You can also see how many tasks are included in each of the stages.

Tasks can be easily moved between stages. To do this, simply pinch and drag it.

💡By default, the system provides only one stage - Unallocated tasks. All tasks that exist in your Space will be placed there.

How to create a new stage?

To do this, click on the purple plus icon. It will be displayed when the cursor is placed on the name of the stage.

💡You can select between which two existing stages you will add a new one.

Next, specify its name and select a color.

The color can be selected from among the standard ones.

Or configure your own using a palette or specifying a HEX code.

In order for the stage to be added to the board and saved, be sure to click on the check mark.

The stage is now active and can be used to plan your work on tasks.

How to delete a stage?

To do this, you first need to go to editing mode. Click on the pencil icon that appears when you hover over the stage name.

Then click on the trash bin.

You can’t delete the stage if it has at least one task.

First of all clear it of tasks. And then proceed to the deletion.

❗️Pay attention! Check the filters when deleting an empty stage to make sure there are no tasks assigned to it.

For example, you want to delete a stage that seems to be empty.

You will succeed, but all tasks attached to it will move to the standard Unallocated stage.

And if you reset the filters or set them differently, you can see that the stage will not be empty.

Now, when deleting, you will know that you first need to clear the stage of tasks.

Actions with tasks

When clicking on three dots, a menu of interaction with the task appears. It contains the following items: Complete, Edit, Copy link, Duplicate and Delete.

When clicking on the Complete button, the task is considered completed and receives the Done status. You can easily find it using the filter.

If necessary, you can restore this task. To do this, you need to open its card.

💡You can also complete the task by clicking on the flag.

If you click on the Edit button, the already active task editing form will open. You can make changes to the required fields.

After that, you need to click on the Save changes button for them to take effect.

After clicking the Copy link button, the system will notify you of the success of the action with a special notification.

This link can be sent to colleagues in the chat or inserted into the browser bar and can open the task in a new tab.

After clicking the Delete button, a confirmation form will open.

It will be impossible to restore the deleted task and the data in it.

Also, by clicking on the message icon, you can go to the Comments section in the task.

Quick task editing

You can skip editing mode if you want to change the person responsible, the deadline, or the priority.

To assign a new person responsible for a task, just click on the photo icon. Select a user from the list or use the search field.

To specify a new deadline for a task, just click on the current one and select a new value.

To specify another priority for a task, click on the current one and select the desired value from the list.

As a result, all changes will be displayed at once.

Creating tasks

There are two ways to add tasks to the Kanban board. The first is to use the full task creation form. To do this, you need to click on the appropriate button.

After that, the task creation form will open. Here you need to fill out all the fields.

The second way is to use the quick form of task creation. To do this, you need to click on the plus sign, which is located under the name of each of the stages.

In this form, you need to enter the name and description of the task.

Task search and filters

There is the search field and filters above the task board.

Filters help to find a certain group of tasks that are united by common features. For example, you can configure the display in the list of tasks with an indefinite deadline.

Or find all tasks where you are the task creator, and the deadline for their completion has already expired.

And using the search bar, you can find tasks by name.

❗️Please note that the search must take filter settings into account. The search result will depend on the values specified in each filter.
