In this article we will talk about mass actions in tasks, as well as their features

If there is a need to complete, delete or edit not one task, but several at the same time, mass actions will come in handy.

How does it work?

To use mass actions, first check the desired tasks.

💡To cancel your selection, just click on the minus in the table header.

Then select what exactly you want to do. There are three options for mass actions:

  • Complete

  • Edit

  • Delete

About everything below.

Mass task completion

To complete the task, click on the flag icon.

And confirm your action.

❗️Please note that if you do not have completion rights for some of the selected tasks, this action will NOT be applied to them.

As a result:

  • Tasks that were NOT marked Control after completion would have the Done status.

  • Tasks that were marked Control after completion would have the Ready for review status.

Mass editing of tasks

To edit a task, click on the pencil icon.

As a result, a window will open where you can select the fields and parameters of tasks that can be changed.

Mass editing is a set of certain available actions. Their list varies and depends on the field or task parameter. So, the system provides the following:

Without changes

Available for all task fields and parameters. It means that no changes were made.

💡 This action is used as a standard one, that is, its value is used when the editing window is opened for all fields and task parameters.

Replace value

It is available for the fields:

  • task names;

  • task description;

  • deadline;

  • person responsible, task creator, observers and participants;

  • task priority;

  • group to which tasks can be assigned.

It means that the previous value of the field is completely cleared, instead the new one specified during mass editing is entered.

💡Note that this action removes the field value, even if it is multiple. That is, if there were several observers in the tasks, only the one specified during mass editing will be installed as a result.

Fill in the value

The action is available only for text fields, that is, for the name and description of tasks.

It means that some common complement will be added to the already existing values before or after (optional). It will be entered through a space to the names or descriptions of the tasks.

Clear values

It is available for the fields:

  • task description;

  • deadline;

  • observers, participants;

  • groups

It means that the field is cleared completely. Its values are removed from tasks.

💡 Note that this action clears the field value, even if it is multiple. That is, if there are several observers or participants in the tasks, they will all be removed.

Turn on/ Turn off

This action is available for task parameters. You can activate or deactivate Control after completion, Time tracking in tasks and the possibility to Delegate tasks that are selected for editing.

It means that the selected tasks will be Turned on or Turned off to send tasks to Ready for review as well as Turned on or Turned off to track the time spent on tasks. Turned on or Turned off provides the possibility to delegate tasks to person responsible.

Applying changes

When the desired changes are made, they must be saved. To do this, click on the corresponding button at the bottom of the editing window.

And confirm your actions.

❗️Please note that if you do not have editing rights for some of the selected tasks, this action will NOT be applied to them.

As a result, all the changes you made will be applied to the selected tasks at the same time.

Mass deletion of tasks

To delete a task, click the trash bin icon.

And confirm your actions.

❗️Please note that if you do not have delete rights for some of the selected tasks, this action will NOT be applied to them.

As a result, tasks will be removed from the list and will not be restored.

Features of mass actions

🟣 If you check the box in the table header, all tasks on the page will be selected.

🟣 The option Select all is available only to the administrator and super administrator.

💡 For an ordinary user, it will not be displayed at all.

As a result of using this button, those tasks that are displayed in the table according to the applied filters will be selected.

In order to select all the tasks of the Space and apply mass actions to them, you should first reset the filters.
