How to manage connected mailboxes?

Here we will tell you how to manage emails in Space, for example, how to change their parameters or remove them from the system at all

All mailboxes connected to your Space can be found in the Communication center - Email section.

How to connect another mailbox?

If you already use email in your Space, but want to add another one, then to call up the window for connecting a new mailbox, (2) click on the gear at the top of the list (1).

🌟 Pay attention!

The number of mailboxes available per Space user depends on the plan. That is:

  • Free - 1 mailbox per user.

  • Standard - 3 mailboxes per each user. This number includes both emails that are connected personally and those to which access has been granted. For example, 2 personal + 1 one shared = 3 – the total number available.

  • Professional - unlimited.

How to switch between connected mailboxes?

You can work with emails in each of the connected mailboxes separately. To go to the desired one, first expand it in the list.

Then select the desired folder and click to go to the emails in it.

How to configure a connected mailbox?

At any time after connecting the box, you can go to its settings and change the desired parameters. To do this, click on the gear next to the name.

❗️Please note that only the user who added it to the Space can manage the settings of the mailbox. Others who have access can only work with emails.

The settings window will open.

Here you can change:

🟣 parameters of your connected account: password, server and port

🟣 the name of the sender and the name of the mailbox

💡They will be displayed after saving the changes.

🟣 level of access to the mailbox:

  • Personal - only the user who personally connected it will be able to work with this email.

  • Shared - all users of Space will be able to work with emails in the mailbox.

🌟Shared access level can be used only on commercial plans.

🟣 folders for synchronization

🌟Please note that the synchronization frequency depends on the plan:

  • Free - once an hour

  • Standard - once every 10 minutes

  • Professional - once every 5 minutes

When all changes are made, click Save.

Done! The new settings will be applied at once.

How to remove a connected mailbox from Space?

At any time after connecting the mailbox, if you no longer need it, you can remove it.

To do this, first click on the gear next to the name. The settings window will open. Here, click Delete the mailbox.

❗️Please note that only the user who added it to the Space can manage the mailbox settings, including deletion. Others who have access can only work with emails.

As a result, the connection will be broken, and you will no longer be able to work with emails directly in your Space.

The mailbox will disappear from the general list.
